The 2025 Everwood Pursuits Coordinator Job Description

Everwood was founded in 2014 with a mission to host inspiring spaces for artists to perform, teach and work in a natural environment. Through our Artist Series, a wide variety of professional artists perform in the 110-year-old barn. Artist Workshops are designed to inform and inspire both aspiring and professional artists with focused, hands-on teaching. And the Artist Retreat is designed for the professional artist who needs a nurturing space in a natural setting to advance a creative project in solitude.

DETAILS

Job Title: Pursuits Coordinator
Location: Remote (with limited on-site event coordination)
Reports To: Board President
Status: Part-Time (average of 15 hours per week)

POSITION SUMMARY

The Pursuits Coordinator will play a key role in the growth and sustainability of Everwood’s key pursuits, including the Artist Series, Artist Retreat and Aspiring Artists Fund, as well as assist with marketing and development efforts. The ideal candidate will have a strong passion for the arts, excellent organizational and communication skills, and the ability to work both independently and as part of a collaborative team. This position requires attention to detail and creativity.

KEY RESPONSIBILITIES

Program Support

  • Oversee logistics for Artist Series performances (4 events a season generally from 4:30 – 9:30 pm on Saturdays), including on-site event coordination, artist, audience and vendor relations, and volunteer management

  • Manage application and selection processes for the Artist Retreat and Aspiring Artists Fund, including application communications

  • Coordinate logistics for Everwood’s annual CULTIVATE fundraiser (once a year on a Saturday from 10:00 am – 5:00 pm), including on-site event coordination, artist, audience and vendor relations, and volunteer management


Marketing and Outreach

  • Develop and execute marketing materials to raise awareness and drive engagement, including social media posts, email campaigns, invitations and website updates

  • Manager ticket sales and provide customer service for events


Fundraising and Donor Cultivation

  • Support fundraising efforts by assisting with personalized donor outreach, managing donor databases and contributing to the submission of grant proposals

  • Help implement strategies to achieve specific fundraising goals, including growing current unearned income by approximately 25% by 2026


Administrative Support

  • Prepare and distribute materials for Board meetings

  • Collaborate on process improvements to support operational efficiency


Volunteer Coordination

  • Recruit, schedule and train volunteers for events and programs

EXPERIENCE

  • 2+ years of experience in program coordination, donor relations, marketing or communications, preferably in the non-profit or arts sector (may include internships or volunteer work).

  • Ability to manage events from conception to completion, including logistics, promotion, and post-even

SKILLS

  • Exceptional organizational skills and attention to detail.

  • Ability to produce clear and accurate written content; applicants must be confident in composing a wide variety of messages while maintaining a consistent brand voice for Everwood.

  • Strong communication, time management and interpersonal skills, with the ability to work both independently and collaboratively.

  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspaces, familiarity with social media platforms, and ability to learn new platforms such as Mailchimp, Wix and Ticket Tailor.

  • Ability to manage multiple tasks and priorities in a fast-paced environment.​

ADDITIONAL REQUIREMENTS

  • Flexibility to work approximately 5 designated Saturdays during the Summer

  • Passion for the arts and a strong understanding of the non-profit arts sector


COMPENSATION/BENEFITS

  • Flexible work hours (15 hours week)

  • $30.00 per hour

  • 4 weeks of vacation (2 paid and 2 unpaid)
